Offline Automation

Workflow automation that runs entirely on your machine

A 100% offline automation engine that replaces your manual paper-and-scanning workflow with a private digital pipeline. Runs on a dedicated mini PC or workstation. No cloud, no recurring SaaS costs, no external API dependencies, and no data ever leaves the building.

Why local and offline

01

Nothing leaves the building

The whole pipeline runs on hardware you own. No client data is sent to a cloud API, no third party stores your files, and there is no SaaS provider that can change terms or raise prices. The right answer when your data is sensitive or regulated.

02

Pay once, run forever

This is a build, not a subscription. Once the engine is deployed on your mini PC or workstation, it runs with zero recurring cost. No per-seat fees, no API metering, no monthly bill that grows with your volume.

03

Built around your actual paperwork

I do not hand you a generic tool. The pipeline is shaped to your specific intake source, your document templates, and the exact fields you pull out, so it fits the way you already work.

What the system does, end to end

A typical local automation pipeline, from intake to finished document.

1. Data ingestion. The engine watches a specified intake source, a local folder or an email directory, and automatically detects new client files the moment they arrive. No manual import step.

2. Data extraction. From each incoming file it pulls the fields you care about, for example Client Name, Date and Case Number, using OCR and pattern rules where the source is scanned or unstructured.

3. Template population. The extracted data is dropped into your standard document templates automatically, producing the same output a person used to type by hand, in seconds and without transcription errors.

4. Output and filing. Finished documents are saved, named and filed to the right place on your network, ready for review. The mini PC acts as an always-on network appliance, so the whole loop runs unattended.

Built on a foundation that fits

01

Runs as a network appliance

Deployed on a dedicated mini PC bridged to your Windows workstation. Always on, quietly processing intake in the background, no laptop that has to stay open.

02

Local AI where it helps

Where a document needs understanding, not just pattern matching, I can run an open-weight model locally (via Ollama) so even the AI step never touches the cloud. The same approach behind my local AI assistant.

03

You own and keep it

You get the running system and a clear handover. No vendor lock-in, no dependency on me to keep it alive. If you want changes later, the code is yours.

Frequently Asked Questions

Does it really run with no internet at all?

Yes. The pipeline is designed to run fully offline on hardware you control. No external API calls, no cloud storage, no SaaS account. If the mini PC is air-gapped from the internet, the system still works exactly the same.

What hardware do I need?

A modest dedicated machine is enough, a mini PC with around 32GB RAM and a 1TB SSD handles most intake-and-template workflows comfortably, including a local AI model if one is needed. I can advise on the spec for your volume.

Can it read scanned paper documents?

Yes. Scanned PDFs and images are handled with OCR, then the same extraction and template logic applies. Moving a paper-and-scanning process to digital is one of the most common reasons people build this.

What does a project like this cost?

A focused intake-to-template pipeline is a fixed-price build, scoped once I understand your exact workflow. Because there are no recurring SaaS or API costs afterwards, the total cost of ownership is usually far lower than a cloud subscription over a couple of years.

Still moving paper by hand?

Describe your intake-and-template workflow and I will tell you how it maps to a local, offline pipeline, and what it would take to build.
